Main Responsibilities:
Provides administrative support to the Director of Rooms and is flexible to assist all Rooms departments as needed to ensure smooth running of the Rooms Division.
Answers telephones and composes all types of business correspondence.
Maintains the Director of Rooms calendar and all appointments.
Maintains office correspondence in a proper and sequential order at all times.
Prepares presentations and other documentations required for the Rooms Division.
Orders and controls office supplies when necessary.
Coordinates with all colleagues to ensure an efficient flow of communication to and from the administration office.
Administers to Back Office condition and operation
Administers the Front Office colleagues guest comments Circle of Delights
Administers the Front Office notice board
Administers the Front Office schedule input in system
Assist administration of all Front Office colleagues, including but not limited to colleagues information and paperwork administrative
Championing creativity and ideas of Front Office team, including participating and representing the department in hotels activities
Supporting Hiring with Impact initiatives
Supporting departments operation guest facing tasks as assigned by Front Office Manager / Director of Rooms
Ensuring confidentiality of colleagues information
