Job Description

Summary

Admin Executive will be responsible for overseeing and coordinating various administrative functions to ensure the smooth and efficient operation of the office. The Admin Executive will play a key role in managing office activities, supporting employees, and facilitating effective communication within the organization.

  • Responsibilities

_Vendor Management Duties_
  • Liaise with external vendors, suppliers, and clients to ensure smooth business operations.
Conduct research and provide administrative support to various projects, as assigned.
  • Oversee the PIC from the cleaning vendor and help keep the office in a safe and clean condition at all times.


_Administrative Duties_
  • Handle general administrative tasks such as answering phone calls, responding to emails, managing correspondence, and guiding guests accordingly.
Coordinate and schedule meetings, appointments, and business travel arrangements for employees.
  • Organize and maintain physical and electronic files, bills, records, and databases, ensuring accuracy and confidentiality.
Oversee office supplies inventory, snacks, and beverages and place orders when necessary.

  • Accounting Duties
Maintain accurate and up-to-date financial records such as bookkeeping.
  • Prepare and submit invoices, ensuring timely payments.
Assist in the preparation and monitoring of petty cash budgets.

  • Security Duties
Be familiar with basic building facilities related to firefighting, electricity, and water supply, organize relevant data for security audit, and provide appropriate guidance to employees when necessary.

  • Other Duties
Collaborate with other teams to streamline processes and improve efficiency.
  • Assist in special projects as needed.


  • Qualifications


Indonesian native speaker with conversational to professional proficiency in English
  • Min. 2 years of work experience as an administrator with proven capability
Good communication and interpersonal abilities
  • Familiar with office technology and equipment, including computers, fax machines, scanners, printers, phone systems, etc.
Proficient in Microsoft Office and has a positive attitude to learning about new software and systems to support administrative tasks
  • Excellent organizing and bookkeeping skills
Honest, detail-oriented, and meticulous personality

Job Type: Full-time

Pay: From Rp4,900,000 per month
