We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive support to our executive team at Prakasa Group. This role requires a professional who is detail-oriented, resourceful, and capable of handling a wide range of administrative and executive support tasks with the utmost discretion and confidentiality.
As an Executive Personal Assistant, you will be the right hand to our executives, ensuring their days run smoothly by managing schedules, coordinating meetings, handling communications, and performing other essential tasks.
Key Responsibilities:
- Calendar Management: Coordinate and manage the executives calendar, scheduling meetings, appointments, and travel arrangements to ensure optimal time management.
- Communication Handling: Serve as the primary point of contact between the executive and internal/external stakeholders, managing emails, phone calls, and correspondence.
- Meeting Coordination: Organize and prepare for meetings, including drafting agendas, taking minutes, and following up on action items.
- Travel Arrangements: Plan and coordinate domestic and international travel, including flights, accommodations, itineraries, and related logistics.
- Document Preparation: Prepare and edit presentations, reports, and other documents as needed, ensuring accuracy and professionalism.
- Confidentiality Management: Handle sensitive information with the highest level of discretion and maintain confidentiality at all times.
- Expense Management: Track and manage expenses, process reimbursements, and ensure timely submission of expense reports.
- Project Support: Assist with special projects and initiatives as required, ensuring they are completed on time and within scope.
- Personal Assistance: Provide personal support to the executive, such as managing personal appointments, handling personal correspondence, and assisting with personal errands.
- Problem Solving: Anticipate the executives needs and proactively address potential issues before they arise.
- Office Management: Oversee office operations related to the executives needs, including managing supplies, coordinating with IT, and ensuring a smooth work environment.
Qualifications & Skills:
- Education: Bachelors degree in Business Administration, Communications, or a related field is preferred.
- Experience: Minimum of 5 years of experience as an Executive Personal Assistant or in a similar role supporting senior executives.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- High level of professionalism and ability to maintain confidentiality.
- Strong attention to detail and problem-solving skills.
- Ability to work independently with minimal supervision.
- Possess a valid driving license.
- Fluency in Bahasa Indonesia and English is required
