This position provides advice and assistance to supervisors and staff. This may include information on training needs and opportunities, job description, performance reviews and policies of the company. To assist the Head of HR in the operation and development of the HR functions, promoting and supporting best practice throughout the organisation. The position also coordinates the staff recruitment process.
In addition to the HR roles & responsibilities, the tasks do not limit to carry out audit, and checking of Operations effectiveness and efficiency, including supporting department such as Store and Maintenance.
Responsibilities
Employee Services
-To provide advice and support to managers on all aspects of employee services including processing the following:
- appointments (contract) full time/ temp/ part time
- temporary/ permanent contract variation
- resignations
- probation and confirmation
- promotions and re-designations
- staff development
-Ensures that HR information that needs to be communicated to staff is communicated appropriately, whilst maintaining confidentiality where required.
Recruitment and Selection
- To ensure that all job descriptions and employee specifications are accurately in place.
- To provide advice and assistance to supervisors on staff recruitment.
- Prepare notices and advertisements for vacant staff positions.
- To schedule, organize and conduct interviews.
- To pre-screens job applicants to find suitability.
- To conduct reference checks on potential candidates.
- To informs applicants of their acceptance or rejection for employment.
Attendance Administration
- To monitor and be alerted on daily staff attendance and if necessary to conduct investigation and understand reasons for staff absenteeism.
- To provide advice and recommendations on disciplinary actions on chronic attendance.
- To support the Head of HR on the preparation of reports to management in regards to staff leave records and conduct.
Administrative and Clerical
- To provide secretarial support to the Head of Human Resources.
- To maintain and upkeep staff personal files in a professional and confidential manner in line with audit requirements.
Labour Relations, Institution Partners Relations and Company Policies
- To explain employment terms and conditions and company policies and procedures.
- To interpret and advice on employment legislation and standards.
- To provide confidential administrative support in areas relating to disciplinary and grievances issues, and where applicable tribunal documentations.
- To collate information on behalf of HR Department in relation to new legislation and best practices guidelines.
- To conduct counselling sessions
- To maintain rapport with related institutions e.g. hospitality institutions etc
Special Projects
- To assist in coordinating special events such as Long Service Awards, Family Day and Annual Dinner & Dance.
- To coordinate staff recognition programme
- Any other duties assigned by the Management from time to time.
Qualifications
- Bachelor's degree or relevant experience
- 5+ years experience in Human Resources,
- Strong recruiting and demonstrated ability to improve talent acquisition strategies, Demonstrated expertise training managers and employees,
- Strong organizational, critical thinking and communications skills, Attention to detail and good judgement
- Travel is required
