Responsibilities:
Marketing Activities/ Event
To support marketing, medical and sales activities on doing their event
Work with local vendors to develop promotional inputs and manage approvals for promotional inputs/campaigns
Ensuring all proposal activities are planned on early years
Categorize proposal event as major event or minor event
administrators to implement all systems and functions related to the efficient operation
Preparing event from A to Z (including, accommodation, place, Visa, HOD, Contract for resource person, etc)
Creating ID event on system
Register every medical professional as a vendor on system
Preparing PR and PO for every vendor on event related
Marketing Activities/ Event - Document Completeness
Ensure all document that needed for event are complete, consist of -
HOD letter for permission of Doctor/medical professional
Contract of Medical professional (KOL, Doctor, etc)
Accommodation for medical professional (Hotel, transportation, visa)
Sponsorship letter
Document control and administration
Ensuring payment all vendor related event to Finance with preparing document of -
Approved ID event
Attendance list of events
Contract of Medical Professional
PR and PO every vendor
Conduct Administrative Works & Travel Arrangement
Filling & Record keeping: Filing all managers documents and appropriate records related to supervisor job (including doctors name based on venue) and sponsorships
Prepare & organize meetings, provide guest arrangement for hotel/ accommodation and transportation including meals in meetings; take minutes of meeting and distribute them to the members in order to ensure success of meeting.
Office Management Support and General Administrative
Greet and assist visitor
Maintaining relationship and communication with WeWork Management including distribution of letter, package to all employees.
Office stationery and all other office facility by collaborate with WeWork
General administrative.
Required Education, Experience, and Skills:
Candidate must possess at least a Diploma (D3) from Secretarial Academy, Business Administrative.
At least 3+ years experience as Marketing Operation or Sales Admin Assistant, having an experience with Pharmaceutical is much preferred.
Good ability to speaking & written English.
Having an understanding in handling travelling, event and SAP systems is a plus.
Demonstrate proficiency with MS Office (Microsoft Word, Outlook, PowerPoint and Excel)
Display strong service-orientation, having a good attitude & ethics
Persistence and Stability: ability to cope with pressure, integrity and commitment
Able to work independently under pressure
Having a business knowledge
Punctual & accurate
Demonstrable ability to multi-task and adhere to deadlines
Well-organized with a customer-oriented approach
