Who You'll Work With
You will be based in Jakarta office and will be part of our Office Services Team. The team is responsible for providing various office services, including reception and front-of-house duties, print production, event coordination and hospitality, mail and courier services, purchasing, and facilities maintenance.
Our office services team is an administrative all-rounder, providing excellent customer support across the firm. You will be working closely with other team members to deliver administrative support services as lead operator to ensure highest quality services and smooth operations.
What You'll Do
As the Office Services Coordinator you will perform a variety of administrative activities that collectively contribute to the functionality and appearance of the office. You will be working with a local team, playing an active role in all aspects to ensure the smoothness of office operation.
In this role, you will be responsible for coordinating office services, including managing office supplies, equipment, and facilities. You will handle tasks such as ordering and restocking office supplies, coordinating maintenance and repairs, and ensuring that all office equipment is in good working condition. Additionally, you will be responsible for managing office vendors and service providers, ensuring that all services are delivered in a timely and cost-effective manner as well as oversee team performance.
You will be the key contact person for all office-related inquiries and requests. You will need to possess excellent communication and interpersonal skills to effectively liaise with employees, internal and external stakeholders. Your ability to prioritize tasks, multitask, and work under pressure will be essential in managing competing demands and meeting deadlines.

Qualifications
Bachelors degree preferred
Prior exposure to facility/site management, ideally in a professional services environment
Skills to communicate complex ideas effectively
Ability to communicate effectively, both verbally and in writing, in English as well as the local office language
Ownership for administrative tasks; ability to work independently
Ability to work collaboratively in a team environment
Expertise in MS Word, PowerPoint, Excel, and Outlook; ability to learn other applications
Outstanding efficiency and effectiveness of administrative processes
Ability to expand role beyond responsive support to proactive contributions; strong initiative and positive attitude
Effective problem-solving and project management skills
