Position Overview
Working within a team, you will be in daily contact with our clients and suppliers, processing bookings, answering questions and making sure that our in-house guests and operational aspect of our clients trip are in good manners.
We have clients from all over the world, however we specialize in European, UK, US and Australian markets.
A good Operations Officer is focused on providing the best service to our clients, has good
management skills and good relations with suppliers, and keeps looking to improve it, has a
professional mind-set and a passion for travel and his/her work.
RESPONSIBILITIES
a. General
Ensuring all services of Operation Departments part for his/her designated market are well prepared and the trip run smoothly
Raise critical issue if any to Team Coordinator or Assistant Manager/Manager
Communicate all Operational issue if any with Inbound Teams and other department
As a member of Operation Department, assisting other sub team in regards to emergency situation
Monitor and assist The Sales Representative in regards to Optional Tour selling
b. Operation Stock Control
Manage our inventory list check every 3 months we have sufficient stock to provide our EXO branding and specific agent requirement in all Indonesia
Update and report to Operation Manager before ordering missing pieces of logo and uniform on quarter basis.
c. Guide Unit Assistant
To assign jobs to tour guides on in due time
To update guide assignment in Tour Plan system, confirm the guide assign to Travel Consultant
via email, send an update in case of guide change, review the guide order is completed with
Welcome Letter, create Appreciation Form, correct paging, program, CA, any specific agent
requirements or gift, etc.
To calculate guide fee in monthly basis to allow Accounting team to settle the fee in time
To collect Guide Report during the debriefing with the guide after the tour (if any) to be scan and save properly in our server
d. Transport Assignment
To process and monitor transportation booking needed for all the files of his/her designated market
Ensuring an efficient and effective coordination and communication between guide and
driver
e. Travel Document and package
To create Appreciation Form, correct paging, program or itinerary, Cash Advance, any specific
agent requirements or gift, provide the welcome letter, flight ticket and all necessary
document and stuff needed for his/her designated market.
Organize all necessary document and package in an appropriate place so the guide or driver can take it easily before picking up the clients
QUALIFICATIONS:
Eligible for Indonesian nationals.
Bachelors degree in Tourism or related field (fresh graduates are welcome to apply).
Good command over verbal & written English;
Experience in Travel Company and Operations Task.
Excellent skills in Microsoft Office, Google Suites & Travel software.
