Personal Assistant Sales and Event Production CoordinatorAre you ready to be an essential part of our growth journey
This position will provide comprehensive administrative support to the Community Growth VP, assist in sales-related tasks, and play a pivotal role in community growth and event production. The organization designs this position to support its overall growth initiatives by ensuring the smooth execution of events and enhancing community engagement.
Manage the Community Growth VPs calendar, including scheduling meetings, appointments, and coordinating travel arrangements.
- Handle correspondence, emails, and communications on behalf of the Community Growth VP.
Assist in limited sales outreach, including follow-up with potential clients and managing sales materials.- Schedule and coordinate introductory meetings and follow-ups with prospects.
Maintain and update the CRM system with sales and community engagement activities.
- Lead the planning and execution of in-person events, ensuring all logistical aspects are well-coordinated.
Oversee the setup and operation of technical equipment, including video cameras, sound systems, and other tools, ensuring they meet the requirements of each meeting or event.- Provide troubleshooting support during events to resolve any technical issues promptly.
Handle the transportation, installation, testing, dismantling, storage, and maintenance of all company audio-visual equipment before, during, and after events.
- Coordinate with event partners to arrange and prepare the event space for onsite meetings or events, ensuring all logistical elements are in place.
Draft and distribute accurate and timely Minutes of Meeting (MOM) at the conclusion of each event.- Collaborate with meeting chairs and guest speakers to organize rehearsals and address any specific requirements they may have for their presentations or participation.
Greet and welcome event attendees, ensuring that everyone feels included and comfortable.
Native-level English reading/writing/spoken ability is a must for liaising with global colleagues and leads
- Strong communication and interpersonal skills to connect with leads effectively
Neat, detailed, and disciplined to consistently updating data and following up with leads and tasks- Be able to have an adaptive, flexible mindset to market and business changes and needs
