The Sales Support Officer provides administrative and operational support to the sales team, helping to streamline processes, improve client engagement, and ensure accurate record-keeping to support the team's overall performance.
Job Description:
- Sales Administration and Documentation
- Prepare sales proposals, contracts, and presentations as required.
- Manage and maintain accurate sales records, including CRM database updates.
- Track the status of sales orders and ensure timely delivery by coordinating with logistics and supply chain teams.
- Process and track sales invoices, payments, and follow-up on outstanding balances.
- Customer Service and Support
- Act as the first point of contact for customers with queries about products, services, or orders.
- Assist with customer onboarding, providing initial product information, and setting up accounts as needed.
- Coordinate with internal departments to resolve client issues and ensure timely support and product delivery.
- Support clients with post-sales service requests, including warranty claims, repairs, or replacements.
- Sales Team Coordination
- Schedule and arrange appointments, meetings, and travel for the sales team.
- Assist in preparing and distributing meeting agendas, reports, and follow-up documentation.
- Manage and distribute incoming leads to the appropriate sales representatives.
- Provide data and reporting support, including weekly sales reports, forecast updates, and performance tracking.
- Data Analysis and Reporting
- Track sales metrics and prepare regular reports for sales managers, including performance metrics, sales activities, and sales pipeline status.
- Conduct basic data analysis to identify trends, customer needs, and opportunities for growth.
- Assist with the preparation of monthly or quarterly sales forecasts.
- Process Improvement and Best Practices
- Identify and suggest improvements to existing processes for better efficiency and client service.
- Develop and maintain standard operating procedures (SOPs) for sales-related tasks.
- Stay informed on product updates, market trends, and best practices to better assist the sales team.
- Inventory and Order Management
- Monitor product inventory levels and coordinate with the supply chain to ensure adequate stock.
- Handle product returns, exchanges, and refunds, ensuring compliance with company policies.
- Prepare and review sales agreements to ensure accuracy in terms and conditions.
Requirements:
Educational background:
- Bachelor's degree in business administration, Marketing, or a related field.
Experience:
- 1-3 years of experience in sales support, customer service, or sales administration.
Technical Knowledge & Skill:
- Excellent communication and interpersonal skills.
- Proficiency in CRM systems and Microsoft Office (Word, Excel, PowerPoint).
- Strong organizational and time-management abilities.
- Attention to detail with a high level of accuracy in documentation.
- Ability to work collaboratively with cross-functional teams.
